Five Questions to Ask Before You Hire a Bookkeeper

Choosing a bookkeeper means trusting someone with an important part of your business. You should know who is handling your books, what to expect, and how your financial information is managed.

Here are five questions worth asking before you hire one.

1. Who will actually be working on my books?

Start by understanding who will actually handle your books.

Will your bookkeeper work directly on your account, or will someone else be involved? If others are involved, who does what? And if your bookkeeper is unavailable, what happens?

There is no right or wrong setup. What matters is knowing who is responsible for your books, how the work is handled, and what support you can expect.

2. What does your monthly process look like, and when will my reports be ready?

“Monthly bookkeeping” should come with a clear process and timeline. Ask when your books will be reconciled, reviewed, and ready each month.

At minimum, ask about these financial reports:

  • Profit & Loss (P&L): shows whether your business is making or losing money.
  • Balance Sheet: shows what your business owns, owes, and its overall financial position.
  • Cash Flow Statement: shows where cash is coming from and where it is going.

Most importantly, ask when you will receive them each month. Timely financial reports help you spot problems early, manage cash flow, and make decisions based on what is happening in your business now, not months ago.

3. Will you help me understand my numbers, or primarily maintain the books?

Accurate bookkeeping is the foundation, but financial reporting can go further.

A bookkeeper can maintain your records, reconcile your accounts, prepare financial statements, and explain what those reports show. Deeper financial analysis, such as understanding what is driving changes in margins, cash flow, or profitability, requires additional financial knowledge and experience.

If you want more than monthly reports, ask who will analyze your numbers and what qualifications or experience they bring to that work.

4. What qualifications or registrations apply to the services you provide?

Bookkeeping itself does not require a California professional license, so ask about the education and experience of the person handling your books.

Tax preparation has different requirements. In California, paid tax preparers must generally be a California CPA, California attorney, IRS Enrolled Agent (EA), or CTEC-registered tax preparer (CRTP). Anyone preparing federal tax returns for compensation must also have a valid IRS PTIN.

If your bookkeeping firm also prepares taxes, ask:

“Who will prepare and sign my return, and what credential or registration do they hold?”

5. How will my financial information be managed if we stop working together?

Your financial records should remain accessible to your business, even if you change providers.

Ask:

  • Who owns and controls the accounting software account?
  • How are sensitive documents stored and shared?
  • Is two-factor authentication used?
  • If we stop working together, how will I receive my records?

Your financial information belongs to your business. Make sure you can access it and take it with you.

One More Question That Can Tell You a Lot

There is one additional question we really like:

“What type of client is your firm not the best fit for?”
